What we hold, and how to make us stop

Who are you, and what does this cover?

We are Vectis Works. For manufacturers, we build dashboards for the shop floor, plus the data systems and software around them. Our office is at 100 Powell Place #1170, Nashville, TN 37204.

This policy applies to vectis-works.com and to the business emails Vectis Works sends. Wherever it says "we", "our" or "us", read Vectis Works.

How do I make you stop?

Answer any of our emails and say you want no more. The words are up to you. If we phone you, telling the caller counts just the same.

Stopping happens promptly, and 10 business days is the longest it ever takes. From then on your name and email address sit on a do-not-contact list. That list is what keeps us from getting in touch again, even when your details turn up later through a different source.

Why would you contact me?

Our work suits manufacturers, so we write to people there whose jobs are close to it: leaders in operations, plants, engineering or IT. Mostly that means a message to your work email. Once in a while we may phone instead, or post a letter to your business address.

We only get in touch when our work looks relevant to your company, and asking us to stop ends it.

What do you collect?

• You at work. Name, title and the company you work for, plus a work email, a business phone and a link to a professional profile, when we can find them.
• Your company. What it is called and its website, the industry it is in, how big it is, where it is, and its business address.
• Public business activity. What your company has put out publicly, for example job postings, news stories and public posts.
• Deliverability checks. A test of whether a work address accepts mail, run so that messages don't bounce.
• Correspondence and notes. Whatever you write back, and what we note down from talking with you.
• Visiting this site. There are no cookies here and no analytics. Our host keeps ordinary technical logs, IP address and browser type among them, so it can serve the site and guard it. Google Fonts supplies the typeface, so it sees your IP address too.

Sensitive information stays out of it: no government IDs, no financial account numbers, no health details.

Where does it come from?

• Public places: news sites, job boards, company websites and professional networking profiles.
• Commercial data firms that supply company records and business contact details.
• You, whenever you write back, fill in a form or talk to us.

What do you use it for?

• Deciding whether what we do might matter to your company.
• Writing to you at work about that.
• Confirming an address works before a message goes to it.
• Answering you, and talking through or delivering our services when you want that.
• Maintaining the do-not-contact list, so every request to stop holds.
• Protecting our systems and doing what the law requires of us.

We don't track whether you open the messages we send.

Do you sell it or pass it on?

No selling, and no renting. Personal information is never handed to other companies for their marketing, or used for targeted advertising. The only others who receive it are:

• Providers doing work for us: email and mailbox services, email verification, business data services, hosting and data storage. Each may use it for nothing except delivering its service to us.
• Authorities or others, where a law demands it, or where that is needed to defend rights, property or safety.
• Whoever buys or takes over our business, who then has to go on protecting it under this policy.

How long do you keep it?

Business contact details stay on file while they help us reach businesses. Records that have gone stale get deleted or updated. For clients, records remain as long as the work, our accounting duties and the law call for.

Entries on the do-not-contact list remain for the whole time we are contacting businesses, so your request stays in force.

How is it kept safe?

Only people whose work needs the information can get to it, backed by reasonable technical and organizational safeguards. Still, no system can be made perfectly secure, and we don't claim ours is.

What can I ask you to do?

Ask, and we will:

• tell you what we hold on you, and where we got it;
• fix anything that is inaccurate;
• erase it, apart from the do-not-contact entry that keeps your request working.

Depending on your state, privacy laws such as California's may add rights: to know about, correct or delete your information, and to opt out of its sale or sharing. Vectis Works does not sell it and does not share it that way. Exercising any of these rights never changes how we treat you.

Send a request by answering any of our emails, through the Vectis Works contact form, or by post to our office. To verify it, we may ask which email address of yours we wrote to. Our answer comes inside whatever time limit the law sets. Someone you authorize to act for you can make the request as well.

Do you collect anything about children?

No. What we offer and what we send are meant for businesses, and we never knowingly gather information on anyone younger than 18.

Where is it processed?

We are a US company, and the businesses we contact are in the US. Processing takes place in the US and anywhere our service providers operate.

What if this policy changes?

The effective date shown at the top moves forward each time we revise it.
